The problem

Grays VC's realtors worked like most of the industry: voice notes, scattered messages and tasks lost between conversations. The information existed — but it lived in WhatsApp, unstructured, and nobody had a clear view of what needed to happen each day.

What we built

An internal portal connected to a WhatsApp bot: the realtor sends a voice note or a message, the system transcribes it with Deepgram (voice-to-text), structures it and turns it into tasks. Every morning, a curated daily brief gives each realtor what matters: pending items, follow-ups and updates.

The stack: Next.js for the portal, n8n for automation orchestration, Neon (Postgres) as the database and Vercel for deployment. No infrastructure to maintain.

How we did it in 7 days

The scope was locked on the first call: one main flow, done well, instead of ten half-finished ones. Days 1–2: discovery and flow design. Days 3–5: build with partial deliveries the client could test same-day. Days 6–7: adjustments based on real feedback, then production.

That's the pattern of our Validation tier: a fixed scope of one main flow, 1–2 weeks, with the price range published upfront.

The result

Voice notes stopped dying in the chat: they're now structured tasks with follow-up. The daily brief killed the "what's on today?" question — and the system runs on its own, with nobody operating it.
